How it works
A record's whole life, in storage you own
XeresDocs decides what happens to each file and when. Your storage holds it the whole time, and the browser uploads and downloads straight to it.
The life of a record
Filed, kept, tiered and disposed of, on schedule
Filed
A member of staff uploads a file into a record. It goes from their browser straight to your storage, is scanned for malware, and is tagged with its record and schedule.
Kept
The record type's schedule sets a retention date. At the Protected and Compliance levels your storage holds the file until that date as well.
Tiered
Files nobody has opened for a while move to cheaper storage tiers on rules you choose, so a large archive costs less to keep.
Held
A legal hold stops disposal of a record for as long as a claim, inquiry or request needs it.
Disposed of
Records past their date are listed for review. Once approved they are deleted from your storage, and the audit trail records who approved it and when.
Everyday work
What staff see
Records, not folders
Each record has a type, the fields that type needs, and a name built from them, so files are found by what they are about.
Search everything you may see
Search by name, reference or any field, across every department you have access to and nothing beyond it.
Open files in the browser
PDFs, Word documents, images and Outlook messages open in the page without being downloaded.
Recent files
The files you worked on last are on your home screen, checked against what you may still open.
Versions kept
Every saved change keeps the version before it, and an earlier version can be restored.
Activity
See who opened, changed or moved a record, in the order it happened.
Storage
Azure or AWS, and more than one
Connect as many storage accounts as you need. Each department files into the one you choose.
- Azure Blob Storage. Our template creates the account in your subscription, and XeresDocs signs in to it through your own Microsoft directory.
- Amazon S3. Create a role in your AWS account that XeresDocs can assume. No access key changes hands.
- Your own region. Keep records in a UK region, or wherever your policy says they belong.
- Your cloud bill. You pay your provider for storage at your own rates, and see exactly what it costs.
See it with your own storage
Bring a retention schedule and we'll show a record through its whole life.
