Product · XeresDocs
Your records, in your own storage, governed for you.
XeresDocs files, retains and disposes of your organisation's records while every document stays in the Azure or AWS account you already own and pay for.
Bring your own storage
We run the service. You keep the files.
Most document systems hold your records in their cloud. XeresDocs splits the job so the part that matters stays with you.
Yours
Your storage
- Azure Blob Storage or Amazon S3, in your own account
- Your region, your keys, your bill
- Retention locks the storage itself enforces
Yours
Your sign-in
- Staff sign in with Microsoft 365, as they already do
- Multi-factor authentication required by default
- Leavers lose access when you disable them
Ours
The XeresDocs service
- Hosted in the UK, upgraded and monitored by us
- Your records database, run for you or in your tenant
- Never holds a copy of your files
Solutions
Built for organisations that answer for their records
Each sector keeps different records for different reasons. XeresDocs comes set up with the departments, record types and retention schedules yours actually uses.
Local government
Every service area's case files under one retention schedule, ready for FOI and subject access requests.

Choose how hard the lock is
Every organisation picks its own level for each storage account. XeresDocs never chooses the strictest one for you.
Application
XeresDocs refuses to dispose of a record before its date. The default for most organisations.
Who can override: your storage administrator
Protected
The storage itself holds each file until its date, as well as XeresDocs.
Who can override: a storage administrator, deliberately
Compliance
Each file is locked in storage until its date. Nobody can delete it early, including us and your cloud provider's account owner.

Getting started
From first call to first governed file
Setting up follows the order the work forces. Your administrator does it from screens in XeresDocs, and a checklist confirms each step against your storage.
Sign in with Microsoft 365
An administrator approves XeresDocs for your organisation on one consent screen.
Connect your storage
Run our template in your Azure subscription, or create a role in your AWS account.
Set up your structure
Departments, record types and retention schedules, started from your sector's.
File your first record
Upload it, and see it scanned, tagged and held in your own storage.
See your own records in XeresDocs
We'll walk through your retention schedule and show it running against storage you control.
