Close the matter, and let the file look after itself

XeresDocs keeps each closed matter for its retention period, holds it when a claim arrives, and destroys it on schedule with a record of who approved it.

What firms need

Confidential by matter, retained by policy

  • The firm keeps the files. Client documents stay in the firm's own Azure or AWS account. XeresDocs never holds a copy.
  • Access by matter. Rules grant a matter's team the records that name them, so other fee earners in the same department see nothing.
  • Retention counted from closure. Closing a matter starts its retention period, and each file in it is held to that date.
  • Legal hold when a claim arrives. A hold keeps the whole matter past its date until it is lifted.
  • Email and Word open in the browser. Outlook messages and Word documents are shown safely in the page, with nothing in them able to run.
  • Destruction you can evidence. Each disposal is approved, carried out in storage and written to an audit trail nobody can edit.
